Operations Supervisor (Mailroom)

The Operations Supervisor will be a self-motivated and results-driven individual who can effectively lead a team of mailroom associates at our Glen Mills, PA office. The Operations Supervisor must be able to assess the resources needed on all jobs, ensure adequate coverage, and report onsite to the Glen Mills office 5 days per week.

 

Key Responsibilities:

  • Create and foster a professional atmosphere and team culture.
  • Responsible for day-to-day Mailroom Cash Management processes and accounting.
  • Effectively lead part-time mailroom staff, conduct seminars, trainings, and coaching sessions as needed.
  • Pick up mail from the local post office; Must have a valid driver’s license.
  • Effectively track and manage Team Quality/Production rates.
  • Process mail merges and FedEx mailings for custom internal work.
  • Maintain postage account reports.
  • Validate outgoing mail drops against postage account and notify management of any discrepancies.
  • Maintain inventory of all mailing supplies and equipment.
  • Manage assignments for incoming mail according to day- to-day mail volumes and deadlines.
  • Lead communications with project teams regarding mailing return status.
  • Maintain office cleanliness and organization.
  • Establish SOP’s and ensure the department is in line with protocols daily.
  • Implement new training materials and processes as needed.
  • Ability to adjust schedule to help reach departmental goals.
  • Other duties as assigned.

Position Requirements:

  • College degree or equivalent work experience preferred.
  • Ability to work on-site at the Glen Mills office Monday-Friday.
  • 2-4+ years of supervisory experience required.
  • Ability to lift and carry 50+ pounds.
  • Ability to stand most of the day.
  • Proficiency in Microsoft Office suite, especially Excel and Outlook.
  • Must possess analytical skills to analyze metrics and create/maintain reports and databases.
  • Strong problem solving, multi-tasking and decision-making skills.
  • Strong organizational and project management skills, as well as high attention to detail.
  • Excellent written and verbal communication skills.
  • Must be a self-starter, able to work independently, prioritize tasks, and meet deadlines.
