Job Summary

Zachry Construction Corporation is looking for a highly organized and detail-oriented Public Affairs Coordinator to provide administrative support to the Public Affairs Department with a general interest in government affairs, corporate communications, and community engagement. This position requires high multi-tasking capabilities and confidentiality. Job duties include, but are not limited to, general support functions including monitoring emails, voicemails, regular mail, copying, scanning, filing, and processing of invoices. Additional duties include a high degree of coordinating with others, tracking legislation, and supporting internal and external communications functions.

Essential Functions

  • Act as point of contact for Public Affairs Department among executives, employees, and external partners.
  • Schedule meetings with local and state legislative members.
  • Coordinate, administer, and implement administrative operations efficiently and provide solutions.
  • Manage Public Affairs vice president email accounts and calendar and respond to requests in a timely manner.
  • Maintain department records/files in accordance with the department retention schedule.
  • Process and track all department-related invoices and perform minor accounting duties throughout the year.
  • Assist communications manager with the maintenance of internal and external communications platforms, develop and track project-specific communications and outreach activities, and assist with website maintenance and social media content.
  • Assist department team members in the planning, coordinating, and implementing of special events such as fundraisers, groundbreakings, grand openings, political endorsement mail outs, and other projects assigned.
  • Schedule department meetings, take notes, and follow up on key actions.
  • Arrange all logistics including compiling attendee lists, arranging food and beverage, and preparing meeting materials and agendas, for all department-sponsored meetings.
  • Assist department team members with daily schedule, travel arrangements, and expense reports.
  • Maintain the web-based legislative tracking service (TLS) and priority tracks.
  • Assist department team members with administrative functions pertaining to ZACOPAC receipts and expenditures, and all necessary compliance reporting documents. Draft letters, and memos as needed, including correspondence regarding public affairs, corporate communications, political and legislative issues, ZACOPAC, and elections.
  • Monitor and track media inquiries regarding all Zachry-related entities.
  • Participate in company volunteer efforts and involvement.
  • Complete special assignments and projects when requested.
  • Other duties as required.
