The Dispatch & Scheduling Coordinator will support our Trades Division, including our Plumbing, HVAC, and Electrical departments. The Dispatch & Scheduling Coordinator will be responsible for many duties including but not limited to dispatching and scheduling for the Trades Division.

Responsibilities:

  • Maintain mobile service dispatch.
  • Maintain Trades service schedule.
    • Pull keys for Trades team.
    • Contact customers for scheduling.
    • Maintain communication and follow ups with customers.
  • Enter all work orders for the Trades Division.
  • Maintain Trades construction jobs schedule on Builder Trend.
  • Document imagining for all Trades.
  • Update notes for dispatch query for all Trades.
  • Order parts as needed.
  • Timecard maintenance for all Trades.
  • Type proposals and manage proposals billing schedule.
  • Permitting for all Trades.
  • Schedule inspections for all Trades.
  • Upload and maintain budgets for Trades in Foundation.
  • Work with the Billing Administrative Assistant to review invoice needs weekly.

Requirements:

  • Dispatch experience is strongly preferred.
  • Excellent customer service skills.

  • Ability to trouble-shoot quickly and effectively.
  • Ability to maintain professional conduct under pressure.
  • Superior organizational skills.
  • Basic to thorough knowledge of office electronics – printers, copier, fax, scanner, etc.
  • Ability to prioritize when given multiple tasks.
  • Desire to learn outside of current skillset.
  • Must be knowledgeable in many aspects of technology.
  • Resourceful, creative, and intuitive.
  • Must have excellent typing skills.
  • Must be proficient in Microsoft Word, Excel, and Outlook.

Physical Requirements:

  • This is largely a sitting role; however, some standing and movement is required. This includes the ability to lift files, open filing cabinets and bend or stand, as necessary.
