The Landmark Admin—Shipping and Receiving role coordinates and performs administrative duties related to receiving, storing, and dispatching materials and products within the fabrication department. This position ensures accurate record-keeping, communication with internal and external stakeholders, and timely processing of shipping and receiving documentation. The role requires attention to detail, multi-tasking, and working in a fast-paced environment.

Responsibilities and Duties

Essential Functions:

  • Process and document all inbound and outbound shipments.
  • Maintain shipping and receiving records in the company’s database and update inventory information.
  • Coordinate with warehouse and logistics teams to ensure smooth operations for shipping and receiving processes.
  • Immediately address discrepancies, such as damage or shortages, by communicating with the relevant stakeholders and documenting them in the system.
  • Schedule pickups and deliveries, including coordinating with external shipping companies.
  • Prepare and manage documentation for returning goods and ensure correct tracking and updates in the system.
  • Ensure inventory preparation runs smoothly by organizing and maintaining all necessary documentation and having it readily accessible.
  • Maintain compliance with company and safety regulations during handling and dispatching of goods.
  • Perform administrative support tasks such as data entry, organizing files, and preparing reports.
  • Communicate effectively with various internal departments to coordinate shipping and receiving activities and ensure timely documentation processing.
  • Serve as the main contact for the Fabrication office – greeting customers, applicants, and sales calls.
  • Respond to shipping and receiving inquiries from internal and external contacts.

Qualifications and KSA

Education:

  • High school diploma or general education degree (GED).

Experience:

  • Minimum of 2 years of experience in a similar administrative role, preferably within construction, manufacturing, or fabrication industries.
    • Experience with shipping/receiving processes in a warehouse environment is a plus.

Knowledge, Skills, and Abilities:

  • Proficient in Microsoft Office Suite.
  • Familiarity with inventory management systems and database entry.
  • Strong organizational skills with high attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Ability to multi-task and work under pressure to meet tight deadlines.
  • Ability to coordinate and communicate across different departments is preferred.
