The Fleet Coordinator will provide management for the Charlotte Shop/Small Tools Department: focusing on the operational needs for the department and supporting administrative initiatives as applicable. Charged with oversight of the tools and light equipment. Tasked with leading the logistical, field maintenance, shop/yard operations, inventory control and compliance.
- Acquisition and Disposal – determine the need for adding or disposing assets.
- Communicate with project team members to identify and acquire appropriate tools for project needs.
- Work with admin. team to place orders for new machines. Manage and foster vendor relationships – locating new and negotiating with existing vendors.
- Evaluate aged equipment for disposal.
- Build a case and seek management approval for purchases over set threshold.
- Compliance – ensure equipment is inspected and compliant with industry standards.
- Monitor tag-out processes to ensure that equipment is getting properly maintained.
- Utilize Tenna to monitor/track tool calibrations, inspections, and maintenance.
- Perform random quality control checks.
- Monitor equipment locations to ensure proper compliance with property tax processes.
- Logistics – oversee equipment moves and driver schedules to meet project team needs.
- Communicate with project teams to set delivery/return expectations and convey supply chain issues associated with procurement.
- Responsible for prioritizing requests based on project needs and setting driver schedules to achieve on-time delivery/pick up.
- Manage process workflows to ensure all relevant parties perform duties in a timely and adequate manner.
- Field Maintenance – facilitate actions necessary to ensure equipment is up and running.
- Organize field service calls to address down equipment and, if necessary, organize replacement.
- Manage repair process whether it be performed internally or by a 3rd
- Compare costs for replace vs repair scenarios. Obtain quotes and place orders for repair parts.
- Issue purchase orders and code invoices for repair related services.
- Order parts for equipment and schedule repairs with mechanics
- Shop and Yard Operations – oversee Charlotte shop to meet operational and safety initiatives.
- Responsible for leading and coordinating daily morning Job Safety Meetings.
- Provide direction to Charlotte Shop team regarding facility/yard cleanliness and organization.
- Responsible for monitoring employee time and assessing performance.
- Responsible for ordering supplies.
- Inventory Asset Management – oversight of inventory management, composition, and age
- Review inventory composition to ensure a balanced offering to avoid concentration of risk.
- Provide key information to administrative team to allow proper tracking of assets.
- Develop, maintain, and execute inventory cycle counting program to ensure system records reflect physical inventory status. Notify administrative teams when tools are lost, stolen, or disposed.
- Establish obsolescence procedures, identify slow moving tools and segregate/dispose when appropriate.
- Other departmental functions
- Communicate with project teams to foster and build interdepartmental relationships. Perform site visits and periodic touchpoints.
- Review payroll time for craft employees.
- Update job board to help keep the team oriented.
- Coordinate with other Equipment Division departments to achieve synergies.
Qualifications:
- 3-5 years of experience with management, application, and repair knowledge of small tools and light equipment used in general construction, preferably with a contractor or rental company
- High school diploma or GED required
- Excellent communication, customer service skills, and organizational skills
- Able to manage multiple tasks simultaneously and meet deadlines under pressure
- Must be willing to travel as necessary, with some travel being overnight
- Must be willing to work afterhours and/or weekends as necessary
Work Environment:
Work is performed in both an office setting as well as outside in all types of environmental conditions. This position must be able to lift, carry, stand, walk on uneven surfaces, manually manipulate, grasp, reach out and above shoulder, climb, kneel, bend, twist, and push/pull.
