PROJECT ADMINISTRATOR – SERVICE PROJECTS

A day in the life:

  • Process job setups, and document and process job close out
  • Communicate day to day activities of the employees with the Field Supervisor and maintain a physical schedule of events
  • Assist with coordination and scheduling of sub-contractors, and deliveries (i.e., crane lifts, equipment rentals, deliveries)
  • Process payroll entry for technicians, and job accounting including billing, change orders, etc.
  • Serve as backup for local service dispatching activities as requested; assist with local phone coverage
  • Become proficient at entering and retrieving data from ColonialWebb’s operating system and document storage system (Penta an OnBase)
  • Order and track equipment for sales and field personnel; provide updates PMs and field supervisors
  • Complete and file permits, call-in and track inspections, as requested
  • Gather and copy job close out data (O&M documents, As-built drawings, and air balance reports) for delivery to the customer

You should have:

  • Current or previous work experience in the Construction or Building Service industry providing administrative support
  • Service coordination or project management experience for a service contractor (preferably mechanical, plumbing, or electrical)
  • Ability to work independently without direct supervision 
  • Courage to make informed decisions without outside input 
  • Organizational and superior follow-up skills
  • Ability to handle a fast-paced workload and work under pressure with last minute time constraints
  • Ability to deal diplomatically and communicate effectively with internal and external customers
