The Payroll & Accounts Payable Administrator supports financial operations by assisting the Payroll and Accounts Payable groups with various accounting and operational support functions. Primary duties will focus on assisting with vendor payments, tax payments, payroll processing, and reconciliation tasks. This position works closely with internal teams to resolve discrepancies and help to maintain smooth financial workflows.

Payroll & Accounts Payable Administrator Responsibilities:

  • Responsible for collection and maintenance of W9, Business Classification, and vendor banking databases
  • Process AP invoices accurately and efficiently, ensuring proper coding, routing and authorization according to company policies and procedures
  • Assist with processing vendor payments within the finance system and work closely with team to resolve discrepancies and issues related to vendor invoices, including communicating with vendors and internal stakeholders to address any concerns.
  • Assist in researching ACH payments and posting accordingly
  • Assist with daily bank account reconciliation
  • Assist with reconciling and posting entries for field checking account
  • Schedule tax payments, child support payments, and monthly fringe payments
  • Assist with payroll processing
  • Assist with preparing for various audits
  • Provide exceptional customer service to vendors and internal stakeholders, responding promptly to inquiries and resolving issues in a timely manner
  • Maintain organized up-to-date accounting files and documentation, ensuring compliance with recordkeeping and audit requirements
  • Responsible for accounting administration support
  • Any other duties as assigned

Payroll & Accounts Payable Administrator Qualifications:

  • 1-2 years’ experience in accounts payable, payroll or related financial roles preferred.
  • High school diploma or equivalent required; additional education or certifications in accounting or related field preferred
  • Excellent verbal and written communication skills
  • Proficient in Microsoft Office, on computers and other electronic devices
  • Strong interpersonal skills; must be a self-starter, highly organized, and creative
  • Superior time management and organizational capabilities, including the ability to accurately benchmark project length, deliver on deadlines
