We are seeking a Front Office/Information Coordinator for our Irvine office. If you are detail oriented, organized, and have a positive attitude, you may be the right fit!

As a Front Office/Information Coordinator, you will:

  •  Primary responsibility for prompt handling of all incoming calls, greeting visitors, 
    distribution of messages and deliveries, and maintenance of our hospitality area and front conference room.
  • Provide administrative support to the Project Accounting team including, but not limited to, daily check log, assorted scanning projects, and entering job openings into CRM.
  • Provide proactive administrative support service, as needed, including filing, scheduling meetings, drafting correspondence, ordering printing and shipping, and tracking submittals and deliveries
  • Create deliverable documents for clients including but not limited to, proposals, reports, letters, specifications, and schedules ensuring that documents meet corporate standards. 
  • Have at least a high school diploma and 3+ years of administrative experience, and solid working knowledge of Microsoft Word and Excel.

Other duties include:

Front Office

  • Prompt and professional handling of all incoming calls.
  • Greet clients, and announce visitors; maintain Visitors Log, and issue Visitor stickers.
  • Maintain lobby and executive conference room appearance and inventory to include cleaning as instructed with anti-bacterial cleanser.  
  • Responsible for incoming/outgoing mail/packages, including Certified Mail, UPS, and mail tracking.
  • Assist Office Manager with submitting building maintenance or facilities requests for the corporate office.
  • Assist Office Manager with office supply ordering and inventory maintenance. 

Administrative

  • Assist Project Accounting team with various scanning tasks including Accounts Payable, Contracts, change orders, business licenses, and renewals. Also, assist with entering job openings and closing out jobs within CRM database.  
  • Daily check log entry for Project Accounting team.
  • Assist with monthly credit card expense report distribution. Assist with expense report 
    entry, as needed. 
  • Create Job Opportunities, Internal/External Change Orders, enter/update Firm and client contact information, and prepare job openings using CRM system.
  • Prepare proposals, subconsultant agreements, letters, and reports which may include pictures and diagrams for assigned project managers.
  • Internet/telephone research for analysis for projects, marketing, sales, and reference sites to help our business.
  • Create/process monthly expense reports for project managers within CRM system.
  • Provide back-up to other Information Coordinators during their scheduled time off.

Approved Salary Range: $20 to 24 per hour, dependent on experience and qualifications
