Kraemer North America is currently looking for an Administrative Assistant - Safety to join our team in our Mountain West Region (Castle Rock, CO). This role supports the Safety Department by performing a wide variety of administrative tasks to include data entry, report preparation, file management/record keeping, processing of paperwork, and other clerical duties as assigned.

Responsibilities                    

  • Manage data entry for the EHS Insight account to include user maintenance, updating hours and analytics, and adding and removing projects.
  • Assist in training new users to use the App and monitor workflow status of incident and corrective action reports.
  • Coordinate the creation and distribution of the weekly safety letter through word/adobe via email and within the EHS app. Add safety alerts as necessary.
  • Collect and enter employee training records into EHS Insight and Viewpoint.
  • Transfer existing training documentation from Training Tracker to Viewpoint.  
  • Maintain and update the fleet/driver employee accountability report.
  • Monitor the SAMARA driver program and provide updates and notifications when necessary. Issue base level and remedial driver training classes.
  • Actively monitor the Kraemer online store by managing inventory of products and suggesting new items. Accurately provide credit to employee accounts based on participation in training classes and micro learning events. 
  • Manage user access for the Kraemer online store.
  • Administer the Smith Driving Account by assigning classes and auditing results. Add data from these classes to the Kraemer internal data base. Add units when running low.
  • Monitor and administer the Click Safety LMS account. Add and delete users. Upload material to be used for training, questions, and notifications. Download monthly usage and assign points.
  • Work with our safety staff and social media coordinator to get safety events and information out on appropriate platforms.
  • Process routine paperwork and perform miscellaneous administrative duties, including invoices, submittals, word processing, copying, collating, subcontractor/vendor correspondence, and customer service.
  • Help monitor and update the Health and Safety SharePoint site.
  • Establish and maintain files in accordance with KNA filing protocol as directed by supervisor             
  • Process training for new hires                                                                                   
  • Check on availability, schedule shipments, gather information, and correspond with vendors via phone/mail/fax                                         
  • Assist in monitoring jobsite safety issues and entering drug test results into Viewpoint
  • Assist Foreman and superintendents with field related issues within assigned responsibilities.
  • Distribute all pertinent information to project management
  • Work closely with the IT Department to ensure the accessibility of information 

Qualifications 

  • Two years’ data entry and clerical experience preferred
  • Knowledge of general office procedures
  • Experience using Microsoft Office Suite, Viewpoint, Expedition and the Internet
  • Knowledge of construction/field operations
  • Strong decision making and problem-solving skills
  • Ability to interact and communicate effectively with others
  • Demonstrated leadership skills
  • Ability to manage multiple priorities; flexibility in performing tasks
  • Detail Orientated
  • Ability to remain on task with numerous interruptions
  • Self-motivated

Hiring Range: $20.00 - $25.00/hour; starting wage is dependent on multiple factors: education, experience, skills, market rates, internal equity and/or location.
