Payroll Coordinator

Position Summary:

The Payroll Coordinator is responsible for ensuring that payroll is processed accurately, compliantly, and on schedule for all employees. This role goes beyond timekeeping; it requires an in-depth understanding of wage calculations, tax compliance, benefit deductions, and reconciliation processes. While the position interfaces with timekeeping systems, payroll processing also involves auditing, error resolution, and compliance with federal and state regulations. Candidates must have direct payroll experience.

Key Responsibilities:

  • Process weekly payrolls for hourly salaried employees
  • Ensure accurate calculation of wages, overtime, deductions, and taxes
  • Review and reconcile timekeeping data (from time clocks or systems)
  • Maintain and update employee payroll records including new hires, terminations, and pay changes
  • Respond to payroll-related inquiries from employees, supervisors, and external agencies
  • Prepare and distribute payroll reports to internal departments as needed
  • Ensure compliance with federal and state wage and hour laws, including tax reporting and year-end W-2 processing
  • Coordinate with HR and Finance to ensure benefit deductions, garnishments, and other withholdings are accurate
  • Support internal and external audits by providing required documentation
  • Support the certified payroll process
  • Identify and implement improvements to payroll processes and systems
  • Maintain confidentiality of payroll and personnel data at all times

Qualifications:

  • Experience managing or overseeing timecards/timekeeping systems is a plus, but not a substitute for payroll processing experience
  • Must have end-to-end experience in running payroll cycles, from data validation to processing, funding, and post-payroll reporting
  • Minimum 3 years of payroll processing experience
  • Multi-state and/or multi-entity payroll processing experience
  • Experience with payroll software (e.g., ADP, Paychex, Paycom, etc.)
  • Strong understanding of payroll laws and best practices
  • High level of accuracy and attention to detail
  • Proficient in Microsoft Excel and other office software
  • Strong communication and organizational skills
  • Ability to work independently and handle confidential information
  • Associate or Bachelor’s degree in accounting, Business Administration, Human Resources or equivalent combination of experience and education.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 25 pounds at times.
  • May occasionally be exposed to noise, dust, and a variety of substances that are typically associated with a construction site.
