Administrative Assistant

We are looking for an individual to serve as an Administrative Assistant in our Waite Park, MN location. To be successful in this role, you will have strong organizational and time management skills, effective oral, and written skills, excellent customer service skills, have a strong sense of accountability, and be proficient in Microsoft Office Suite.

 Responsibilities: 

  • Answer phones and transfer to the appropriate staff member.
  • Take and distribute accurate messages.
  • Greeting the public and clients and direct them to the correct staff member.
  • Directly works with customers to perform walk-in parts sales.
  • Prepare O&M documents as needed per contract.
  • Coordinate shipments and courier service.
  • Receive, sort, and distribute incoming mail.
  • Prepare outgoing mail for distribution.
  • Fax, scan and copy documents.
  • Maintain office filing and storage systems.
  • Update and maintain databases and spreadsheets.
  • Retrieve information when requested.
  • Update and maintain internal staff contact lists.
  • Type documents.
  • Monitor and maintain office supplies.
  • Perform work related errands.
  • Keep the office area clean and tidy.
  • Receive payments.
  • Other duties as assigned.
