Staff Accountants report to an Office Manager and/or Division Manager and assist in achieving the goals and objectives of their divisional leadership, while performing all assigned functions in accordance with existing company policies and procedures.  Staff Accountant's responsibilities include, but are not limited:

Responsibilities:
•    Review completed pay apps; send pay apps to GC or enter in GC portal.
•    Prepare tax statements for jobs that require it for billing purposes.
•    Prepare job supplier waivers if required on project and send to contractors for billing purposes.
•    Clear job, g/l expense, and/or work order invoices as needed.
•    Prepare weekly payroll and send any necessary reports/forms to HR and payroll.
•    Create purchase orders for service, if applicable.
•    Accountable to management for review, verification, and reimbursement of petty cash.
•    Review and follow up of “voucher but do not pay” invoices.
•    Answer telephones, direct calls to proper personnel, take and forward messages, answer routine questions and follow-up on routine requests.
•    Greet visitors, ascertain nature of their business, and conduct visitors to the appropriate personnel.
•    Maintain internal filing systems.
•    Order supplies.  Coordinate maintenance visits when needed for office repairs.
•    Assist Office Manager or Division Manager with phone assignments, additions, and corrections for technology equipment, and maintain spreadsheet.
•    Monitor and control the Division Calendar to assure that the weekly, monthly, and quarterly schedules are met.  
•    Monitor and control all procedures established in the General Policies and Operating Procedures.
•    Monitor the execution of worker’s compensation, auto accidents, damaged and stolen property claims and related documents.
•    Assure proper order and procedures of division accounting/record-keeping systems.
•    Responsible for purchasing stamps for outgoing mail, construction account checks, and check requests.
•    Attend staff meetings conducted by the Division Manager to review information and discuss upcoming workload.
•    Monitor and Control the following:

  • Company payroll and related procedures (including, but not limited to, Form 18’s, Form 422’s, Form 32’s, DARs, etc.).
  • Collect devices when employees terminate.
  • Preparation of the Division Compliance Report.
  • Input data for anticipated job hours.
  • Onboarding for new hires, request vehicle PINs for new hires.
  • Set up new jobs in Spectrum and Bluebeam.
  • Manage key fob inventory and update spreadsheet in Reports folder.
  • Create and submit 505’s.
  • Run various Spectrum weekly reports and post.
  • Plan and coordinate office events/activities.

Position Requirements:  Current/valid state driver’s license if required by job conditions.

Education:  High School Graduate or holder of G.E.D.  Notary Public preferred, but not required.
•    Experience:  2 years of Accounting experience or equivalent Watson training is preferred to ensure all aspects of position are performed efficiently and productively while operating in accordance with policies and procedures of the company.

Working Conditions:
•    All work is performed in the office environment.
•    Able to work 40 hours per week, overtime as required; work out of town if needed.
