We are currently seeking an Administrative Assistant!

Administrative Assistants provide administrative support for both the property and corporate staff.

JOB SUMMARY:

We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, and generally being a helpful and positive presence in the workplace.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

To be successful as an Administrative Assistant, candidates should be professional, polite, and attentive while also having attention to detail. They should always be prepared and responsive, willing to meet each challenge directly. Administrative Assistants must be comfortable with computers, general office tasks, and excel at both verbal and written communication. Most importantly, Administrative Assistants should have a genuine desire to meet the needs of others. Additional duties or job functions that can be performed safely may be required as deemed necessary by supervisory personnel.


REQUIRED SKILLS:

Must be proficient in Excel and all Microsoft programs. Must be able to type 55+ WPM. Property Management experience preferred.
• Responsible for providing quality customer service to clients, VP’s and RPM’s
• Assist in coordinating corporate activities, retreats, holiday events, etc.
• Assist with Due Diligences as needed
• Track Compliance of RPM Audits, Biweekly Inspections, Semi-Annual Inspections,
• Assist region’s Executives and direct supervisors with tasks on an as-needed basis.
• Provide backup assistance for other members of the team as necessary
• Responsible for compiling data as well as tracking and inputting data received from properties.
• Incumbent will be required to follow up with properties on a continuous basis in order to meet deadlines.
• Serve as a liaison between the properties, regional office, and corporate office.
• Responsible for occasionally assisting in file audits, unit inspections, and compilation of data at the time of due diligence for new property takeovers.
• Handling office tasks, such as filing, generating reports and setting up for meetings
• Responsible for maintaining a professional appearance and attitude at all times.
• Responsible for seeking educational opportunities and self-improvement for personal growth and development.
• And anything else that the supervisor feels falls into the Administrative Assistant job description.

Responsibilities include:

  • Create spreadsheets, letters, templates, presentations, and forms
  • Write meeting minutes, memos, and other correspondence
  • Manage calendars, coordinate meetings, and prepare agendas and materials
  • Answer phones and greet visitors to AMC
  • Conduct research, compile data and prepare presentations and reports
  • Coordinate and produce status reports, project reports, and other information for special projects

Requirements:

  • At least six months of experience in office management/admin type role
  • Working knowledge of Microsoft Office suite software
  • Strong communication skills, both written and oral
  • Ability to build rapport and work well in a team setting
  • Ability to manage multiple projects and respond quickly in a fast-paced environment
  • Track record of being detail-oriented with strong organizational and time-management skills
  • Ability to remain professional and courteous

Compensation: Full- Time $20.00 to $22.00 per hour
