R.W. Mercer Co. is a family-owned construction and service company headquartered in Jackson, Michigan with seven locations – six in Michigan and one in Indiana. The company operates in three distinct areas of construction: petroleum contracting and service, general contracting, and electrical. In each area, R.W. Mercer provides a turn-key approach that includes planning, design, construction, and installation as well as service, monitoring, and maintenance.

ESSENTIAL FUNCTIONS

  • Opening and closing jobs using internal ERP software and systems.
  • Processing Purchase Orders, Work Orders and Change Orders.
  • Creating and sending accurate and timely invoices.
  • Provide administrative support to Project Managers as needed.
  • Managing Certified Payroll Reports.
  • Resolve billing errors and discrepancies.
  • Assisting vendors and subcontractors with all inquiries and questions.
  • Assist Accounts Payable with coding and processing of payables.
  • Perform any necessary administrative duties such as month-end reporting and filing.
  • Work with other members of the billing and accounting staff, such as Accounts Payables and Accounts Receivable.

ADDITIONAL RESPONSIBILITIES

  • Prepares professional correspondence and documents as required.
  • Typing emails, letters, reports, and general correspondence.
  • Create and maintain a filing system that facilitates efficient and timely retrieval of documents.
  • Maintain reports and tracking, as necessary.
  • Maintain strict confidentiality as required.
  • Other duties as assigned.

KNOWLEDGE / SKILLS / ABILITIES

  • Excellent customer service.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to multi-task and work well under pressure, meeting monthly deadlines.
  • Proficient in Microsoft Word, Excel, Outlook, and DocuSign.
  • Must have basic math and calculation skills.
  • Must have an understanding of taxes – sales and use tax.

JOB QUALIFICATIONS

  • 2+ years’ previous administrative and/or billing experience.
  • An associate degree is preferred.
  • Experience or knowledge of the construction industry is helpful but not required.
