The team at Coastline is looking to hire a Service Administrator at their Sacramento, CA branch and look to find an enthusiastic candidate to round out the team for their Crane Division. This position is being offered on a temporary basis, with the possibility of transitioning to a permanent role depending on business needs and individual performance.
Job Responsibilities:
- Estimates and Quotes: Present electronically and capture digital signatures for repair approvals. Gather information and communicate them to customers using the Modern system.
- Billing: Ensure final billing is consistent with customer-approved repair estimates and additional approved repairs.
- Customer Relations: Update the customer database with mobile phone numbers and email addresses for electronic communication. Maintain ongoing communication with customers throughout the repair cycle and inform them when repairs are complete.
- Collaborate: Work alongside the Service Manager to ensure machine inspections maximize parts and service revenue.
- Machine Inspection: Capture digital multipoint machine inspections with high-resolution photos and videos in collaboration with service technicians.
- Communication: Communicate directly with service technicians, customers, and internal stakeholders using the Modern customer communication system. Act as a liaison between customers and technicians, explaining repair recommendations and communicating approvals.
- Customer Engagement: Monitor customer satisfaction levels and develop methods to improve them. Upsell recommended services using low-pressure, high-integrity methods.
Required Qualifications:
- Education: High School Diploma or equivalent; an Associate’s degree or higher is preferred.
- Experience: A minimum of 2 years of experience in an administrative or clerical role, ideally within a dynamic, fast-paced environment.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with scheduling software and office management tools.
- Soft Skills: Excellent communication, organization, and time management skills, along with a strong attention to detail and a proactive approach.
- Behavioral Traits: Demonstrated professionalism, a team-oriented mindset, and alignment with Coastline Equipment’s values of safety, innovation, and reliability.
Preferred Experience:
- Previous administrative experience in the heavy equipment, construction, or related industries is an asset.
- Familiarity with office management systems and basic bookkeeping practices.
- Additional language skills are a plus, enhancing our ability to serve a diverse client base.
Work Environment:
- Office-Based Role: Primarily based in our office with occasional visits to regional locations as needed.
