General Description The Contract Administrative Assistant will provide support to contracting team, and other departments, as needed and will report to the Director of Contract Administration. 

Key Duties 

  • Routine office activities 
  • Manage subcontractor insurance 
  • Maintain logs and database of subcontractors 
  • Perform filing and document control 
  • Maintain and distribute applications 
  • Scan sales tickets, delivery tickets, etc. 
  • Issue letters/correspondence as required 
  • Other duties as assigned

Education and Experience  This position typically is semi entry-level, however it requires a minimum of one (1) or more years of previous experience in an administrative support role.  

  • A high school diploma or general education degree (GED) is required.  
  • Must be able to understand work directions and communicate effectively 
  • Excellent written and verbal communication skills 
  • Must be well organized and detail oriented 
  • Must be able to work with constant interruption 
  • Must be proficient with MS Office to include; Word, Excel and PowerPoint 
  • Previous experience in construction and contracting is preferred 
  • Must have strong customer service  
  • Previous office administration experience in a construction setting is highly desired 

Physical Demands The following physical demands are representative of those that must be met by an Office Clerk, to successfully perform the essential functions of this job.  

  • Frequent ability to sit for prolonged periods of time;
  • Ability to drive a company vehicle for various recruiting events.
  • Frequent ability to talk and hear, both in person and by telephone;
  • Frequent ability to operate standard office equipment, using hand and arm dexterity;
  • Frequent ability to navigate through office environment, including periodic use of stairs and/or elevator, as needed;
  • Infrequent ability to lift general office documents and materials, up to 10 pounds;
  • Frequent vision abilities required by this job include close vision, distance vision, depth perception, color vision, and the ability to adjust focus

Work Environment 

  • Work generally is performed in an office environment, although periodic visits to construction sites and manufacturing facilities may be required.
  • Noise level in the typical office work environment is quiet.
