JOB SUMMARY
The Associate Construction Accountant supports key financial operations, including banking, accounts payable, vendor management, and administrative processes. This role is essential to maintaining accurate financial records and ensuring the seamless execution of daily accounting functions within a fast-paced construction environment. The ideal candidate is detail-oriented, analytical, and motivated to deepen their expertise in construction accounting while contributing to a collaborative finance team
RESPONSIBILITIES
- Oversee daily cash management activities, including reconciliation of sweep accounts and preparation of bank reports, to ensure liquidity and financial accuracy across all active projects.
- Manage Positive Pay exceptions and stop payments to safeguard against fraud and maintain secure banking practices.
- Monitor outstanding checks and account analysis fees to optimize banking relationships and reduce unnecessary costs.
- Record and reconcile payroll and intercompany journal entries to maintain the integrity of labor cost allocations and ensure compliance with internal controls.
- Support month-end close processes by preparing accurate transfer entries and validating payroll data across systems.
- Deliver timely and accurate financial reports to the CFO and Controller, enabling informed decision-making and strategic planning.
- Maintain comprehensive cash balance spreadsheets to support forecasting and budget alignment.
- Lead vendor onboarding and maintenance processes, ensuring compliance with 1099 reporting requirements and accuracy of DBA information.
- Train accounting team members on vendor master file protocols and pay application procedures to uphold data integrity and streamline workflows.
- Address insurance compliance issues and maintain W-9 documentation to support risk management and audit readiness.
- Manage the intake, tagging, and system entry of pay applications from Procore into eCMS, ensuring timely and accurate processing aligned with project milestones.
- Track returned pay applications and coordinate payment schedules with project managers and principals to maintain strong vendor relationships and project momentum.
- Review lien waivers and approval workflows to ensure legal compliance and protect company interests.
- Execute full-cycle AP processes, including invoice coding, check runs, and payment reconciliations, to support operational efficiency and vendor satisfaction.
- Handle complex payment scenarios such as joint checks, direct payments, and manual check requests with precision and accountability.
- Maintain accurate AP documentation, including packing slips and field orders, to support audit trails and cost tracking.
- Manage office supply inventory, postage systems, and incoming mail distribution to support smooth day-to-day operations.
- Coordinate year-end tax form logistics, including 1099s, W-2s, and envelope quantities, to ensure timely and compliant reporting.
QUALIFICATIONS
- Bachelor’s degree in accounting, finance, or related field (preferred)
- 2+ years of experience in accounting or a similar role
- Strong understanding of AP, banking, and journal entries
- Proficiency in Microsoft Excel and financial software (Procore, eCMS preferred)
- Excellent attention to detail and organizational skills
- Ability to work independently and manage multiple priorities
- Effective communication and collaboration skills
- Experience with construction pay applications (e.g., AIA) is a plus
WORK ENVIRONMENT
- Office based / Hybrid work model: 3 days in-office, 2 days remote after 90 days

Base Compensation Range for this role is $65,000 - $75,000
Final compensation is based on experience, skills, and internal equity. This position is also eligible for Shaw-Lundquist’s incentive plan.
