Position Overview
The Operations Administrator plays a crucial role in ensuring the smooth and efficient functioning of our operations leadership team. This fast-paced, dynamic role requires a proactive, highly organized individual who can manage multiple priorities with minimal supervision. You will be the backbone of daily administrative activities, coordinating communication, managing documentation, and supporting project workflows.
You’ll be based primarily at our active Columbus, OH headquarters, working alongside a collaborative and driven team. The role requires adaptability to shifting priorities and a fast-paced atmosphere where your organizational skills and attention to detail will make a real impact. Occasional visits to job sites may be required to support operational needs.
Key Responsibilities:
Executive & Operations Support
- Provide proactive administrative support to the CEO and operations leadership team.
- Coordinate company meetings, including scheduling, invite lists, location setup, technology, and food service.
- Manage travel arrangements and itineraries for team members.
- Prepare and process internal reports, expense tracking, and project documentation.
- Create and manage company forms, templates, and standard process documents.
- Support onboarding and orientation of new team members, field staff, and subcontractors.
- Maintain organized filing systems (digital and physical) to ensure accessibility and accuracy.
- Respond efficiently to shifting priorities and deadlines with professionalism and attention to detail.
Office & Facilities Management
- Oversee office supplies, PPE inventory, and food service stocking to support daily operations.
- Manage mail, deliveries, and general office logistics.
- Ensure the office environment is well-maintained, efficient, and aligned with company standards.
- Process and reconcile expense reports in coordination with accounting.
Project & Field Team Support
- Provide administrative and logistical support to the Project Management Team, including trailer setup, IT equipment coordination, project signage, and job site requirements.
- Assist the Safety Team with documentation, new forms, and compliance tracking.
- Collaborate with vendors and internal teams to ensure efficient procurement and project logistics.
Marketing, Events & Communication
- Organize company events and celebrations in partnership with the internal team.
- Coordinate client-facing events, corporate entertainment, and ticketing.
- Assist with company-wide communications to ensure timely and consistent messaging.
Qualifications
- High School Diploma or equivalent is required. Bachelor’s degree or equivalent combination of education, training, and relevant experience is preferred.
- 2+ years of administrative or operations support experience (construction industry a plus)
- Strong organizational and time management skills
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Comfortable working independently and taking initiative
- Excellent written and verbal communication skills
- Ability to multitask and thrive in a fast-paced, deadline-driven environment
