Reliance Fire Protection, Inc., a subsidiary of Davis-Ulmer Sprinkler Company, is a full-service fire protection contractor with complete design, installation, inspection, testing and maintenance capability.  

The Assistant Project Manager provides vital support to the Project Manager in planning, coordinating, and executing fire protection projects. This role involves help with contract and documentation management, coordination of field operations, communication with personnel and clients, safety monitoring, and administrative tasks to ensure projects progress efficiently, safely, and within budget.

Job Responsibilities:

  • Assist with maintaining contract documents and help process changes from bulletins, addenda, etc.
  • Support communication between site foreman and Project Manager to track and record change orders
  • Help process change orders, including follow-up for updates from the GC/CM
  • Collaborate with the Designer and Project Manager to prepare and submit RFIs (Requests for Information)
  • Provide regular status updates to GC/CM as requested by the Project Manager
  • Attend weekly jobsite meetings alongside the Project Manager and share results with the design team
  • Assist in performing and documenting weekly safety walkthroughs and site safety audits
  • Ensure weekly toolbox talks are completed and submit documentation to the Safety Manager
  • Collect timesheets from field personnel and submit to Branch Manager
  • Help prepare monthly billing updates for assigned contract jobs
  • Assist in the submission of closeout documentation with the Designer
  • Submit construction permit applications as required with support from the Project Manager
  • Help prepare monthly WIP (Work in Progress)/CTC (Cost to Complete) updates
  • Join turnover meetings with sales and design personnel for new jobs
  • Help oversee weekly scheduling of project manpower
  • Support material and equipment ordering and coordination between designer and shop coordinator
  • Maintain basic communications and coordination with fire marshal, including document submission and testing support
  • Perform other related duties as assigned by the Project Manager

Qualifications / Education / Experience Requirements:

  • High School Diploma or GED required
  • Associate’s degree preferred
  • Previous experience in project coordination or administrative support, preferably in the Fire Protection industry, or an equivalent combination of schooling and experience
  • Strong oral, written and telephone communication skills
  • Good customer service and interpersonal skills
  • Moderate computer proficiency (experience with MS Office and project management software preferred)
  • Organizational and time management ability
  • Basic understanding of building construction documents (ability to read/interpret plans an asset)
  • Basic mathematical skills with ability to assist with financial reports

Certificates, Licenses, Registrations:

  • Valid State Driver License
  • NICET Certification is a plus but not required

Supervisory Responsibilities:

No direct supervisory responsibilities but may assist with coordinating field personnel under the guidance of the Project Manager.

Physical Demands and Work Environment:

  • Office environment – moderate noise
  • Construction job sites – moderate to heavy noise, uneven ground, all types of weather conditions, possible exposure to heights
  • Must be able to maneuver in restricted, dimly lit spaces
  • Must be able to lift up to 40 pounds
  • Willing to travel to local job sites as required
