As our Office Manager, you’ll be the backbone of this mission—keeping our operations organized, efficient, and impactful.

This is a part-time, salaried position (25-30 hours per week), Monday-Thursday.

What You’ll Do

As the Office Manager, you’ll be the anchor that keeps our projects, finances, and operations running smoothly. You’ll work side-by-side with the business owners to ensure priorities are met and the organization thrives. Your days will be varied, with responsibilities such as:

  • Keep the team organized. Prepare agendas, financial reports, and minutes for partner meetings. Track action items, follow up on progress, and ensure deadlines are met.
  • Oversee financial activity. Process payables and receivables, monitor bank accounts, track expenses, and coordinate with our bookkeeper and accountants.
  • Support conservation projects. Assist with bank site development and credit sales by maintaining ledgers, drafting contracts, and coordinating with engineers, clients, and regulatory agencies.
  • Ensure compliance. File annual business reports, track and submit tax payments, monitor insurance policies, and prepare regulatory submissions for Corps of Engineers review.
  • Manage records & systems. Maintain both cloud-based and physical files, keep sales and credit transaction logs accurate, and develop SOPs for recurring tasks.
  • Stay ahead of the calendar. Handle recurring monthly, quarterly, and annual tasks—from payroll and tax submissions to insurance renewals and Corps reporting—while proactively reminding partners of key deadlines.
  • Be the hub of communication. Answer calls and emails, direct inquiries appropriately, and serve as the point of contact for clients, subcontractors, and government partners.
  • Keep the office running. Order supplies, maintain organization and appearance, and coordinate with IT or vendors as needed.

What You’ll Get

  • Total Compensation: $40,000 - $55,000 annually (salaried, based on 25-30 hours per week).

  • Strong organizational and multitasking skills.
  • Excellent communication and discretion with sensitive information.
  • Experience with financial tracking and working alongside bookkeepers/accountants.
  • Tech-savvy with cloud systems, Outlook, and office software.
  • A proactive, detail-oriented mindset with the ability to anticipate needs and follow through.
