Location:
This Role is site-based at KSM Mine, Hwy 37, BC. Camp accommodations and transportation to the site are provided by Seabridge Gold from Terrace, BC. This position operates on a 14x14 day rotational schedule.
Position Overview:
Reporting to the Site Services Facility Manager, the Site Services Logistics Coordinator provides expert travel planning and booking services for team members across KSM projects, ensuring travel arrangements align with program requirements. The role requires a strong background in travel services and operations, excellent customer service skills, keen attention to detail, and a solutions-oriented mindset. This position is pivotal in supporting project objectives while fostering a positive safety and performance culture.
Key Responsibilities:
This role will manage, but is not limited to, the following responsibilities:
- Planning and Coordination: Develop transportation schedules and routes to ensure timely travel while optimizing costs.
- Tracking and Reporting: Monitor travel in real-time using tracking systems and provide updates to stakeholders.
- Travel Management: Plan and manage travel itineraries, including flights, accommodations, transportation, and other logistics for employees travelling throughout Canada, including rural and remote areas.
- Vendor Relations: Develop and maintain relationships with travel vendors and rental vehicle services to secure the best possible services.
- Policy Compliance: Ensure all travel arrangements comply with program travel policies and budget guidelines.
- Team Collaboration: Work closely with the KSM Travel team to coordinate travel and accommodations effectively.
- Travel Support: Provide both pre-travel and post-travel assistance.
- Problem Solving: Develop and implement recommendations to address unique travel challenges.
- Issue Resolution: Address and resolve travel-related issues or emergencies promptly and efficiently.
- Process Improvement: Identify opportunities to improve current travel request workflows and implement scalable solutions.
- On-Site Coordination: Manage all aspects of on-site flights and vehicle bookings, including tours and excursions.
- Customer Service: Resolve issues or complaints arising during the booking process or travel experience.
- Technical Proficiency: Utilize travel booking software and tools effectively.
- Client Support: Provide on-the-go assistance to teams, addressing inquiries and resolving travel-related issues promptly.
Education, Skills and Experience
The successful candidate will bring a proven track record of technical expertise, leadership, and collaboration, supported by the following qualifications and experience:
- Minimum of 2-4 years of experience in travel planning, logistics or operations.
- Extensive knowledge of travel destinations, booking systems, and travel regulations.
- Strong interpersonal skills with a focus on delivering exceptional client service.
- Excellent organizational skills, with the ability to balance multiple priorities simultaneously.
- Strong attention to detail to ensure all travel details are managed and relevant internal tracking systems have been updated.
- Ability to problem solve quickly and efficiently to remediate urgent issues.
- Valid driver’s license and ability to operate a company vehicle under company insurance.
- Proven experience managing and coordinating employees, contractors, and project logistics.
- Strong interpersonal and relationship-building skills, including empathy, emotional intelligence, and cross-cultural effectiveness; able to achieve consensus and foster alignment collaboratively.
