Purpose:

  • This position provides general administrative support to the multiple departments at the company’s shop location.

Responsibilities:

  • Receiving, recording and profiling all incoming and outgoing correspondence and faxes
  • Completing and submitting daily reports, time sheets and other documentation and obtaining the appropriate sign offs, when necessary
  • Preparing confidential and general correspondence for members of the management team
  • Coordinating the preparation and distribution of progress reports
  • Preparing and distributing meeting minutes, Purchase Order Amendments, Contract Change Initiations and other technical correspondence
  • Maintaining a log of all purchases made in the field
  • Obtaining and organizing all Material Transfer Request (MTRs)
  • Ensuring accuracy in spelling, grammar and content of communication
  • Logging and profiling all incoming and outgoing correspondence, reports, drawings and faxes
  • Processing progress photo descriptions in a timely manner
  • Answering telephones and direct calls to appropriate staff, and page when necessary
  • Maintaining an up-to-date filing system of all of the above

Qualifications:

  • Minimum 2 years of relevant experience
  • Experience in an office administration environment and familiarity with general office administration procedures
  • Excellent written and oral English language communication skills
  • Ability to multi-task and manage competing priorities
  • Excellent computer skills including typical Microsoft Office applications (Word, Excel, etc.)
  • Experience with administration of construction contracts an asset
  • Must be a self-motivated team player

Physical Requirements:

  • Walking, stepping, climbing stairs to access or otherwise move from one location on the job site to another which normally involves walking within and around locations and when required to climb and descend stairs to access areas as required
  • Visually inspecting material and storage areas well (either naturally or with corrective lenses)
  • As a sedentary position, the positions requires the individual to be seated for long periods of time in a standard issue desk chair
  • Remaining calm during emergencies and respond appropriately as dictated by the circumstance of the incident which includes within and around locations and when required to climb and descend stairs to access available exits
  • The individual must also be able to wear and properly utilize appropriate personal protective equipment (PPE) to work or visit within areas where it is required. This includes hard hat, safety glasses, reflective vest, ear plugs, steel toed shoes, or other protective equipment as required by the location

  • Ability to follow work orders or receive instructions
  • Ability to adhere to Safety policies and procedures

Education:

  • High School Diploma or equivalent is preferred, but not required

Licenses or Certifications:

  • OSHA 10 Certification Preferred

Travel:

  • Travel is required
