The team at Coastline is looking to hire an Administrative Assistant at their Santa Maria, CA branch.
Key Responsibilities:
- Frontline Support: Serve as the primary point of contact for incoming calls, emails, and visitors, ensuring timely and professional communication.
- Scheduling & Coordination: Manage calendars, arrange meetings, and coordinate travel itineraries to support our busy team and client engagements.
- Document Management: Organize, file, and maintain critical company documents, ensuring accuracy and easy accessibility for all departments.
- Administrative Tasks: Prepare correspondence, reports, and presentations while providing comprehensive clerical support to enhance operational efficiency.
- Office Operations: Oversee general office management tasks including inventory control, supply ordering, and maintaining a clean, organized work environment.
- Team Collaboration: Work closely with various departments to facilitate internal communications and support collaborative projects.
- Event & Meeting Support: Assist in planning and executing company events, meetings, and training sessions to foster a productive workplace.
Required Qualifications:
- Education: High School Diploma or equivalent; an Associate’s degree or higher is preferred.
- Experience: A minimum of 2 years of experience in an administrative or clerical role, ideally within a dynamic, fast-paced environment.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with scheduling software and office management tools.
- Soft Skills: Excellent communication, organization, and time management skills, along with a strong attention to detail and a proactive approach.
- Behavioral Traits: Demonstrated professionalism, a team-oriented mindset, and alignment with Coastline Equipment’s values of safety, innovation, and reliability.
Preferred Experience:
- Previous administrative experience in the heavy equipment, construction, or related industries is an asset.
- Familiarity with office management systems and basic bookkeeping practices.
- Additional language skills are a plus, enhancing our ability to serve a diverse client base.
Work Environment:
- Office-Based Role: Primarily based in our Long Beach headquarters with occasional visits to regional locations as needed.
- Collaborative Setting: Work within a supportive, team-oriented office environment that values open communication and efficiency.
- Occasional Travel: Some travel may be required for meetings or company events, reflecting our commitment to connecting teams across the Western United States.
