Due to continued growth, we are looking to add an Administrative Support role to our Kenosha, WI team. In this role, you will perform a variety of clerical and administrative duties that support daily office operations while delivering excellent service to both internal and external customers. Success in this role requires strong organizational skills, a customer-focused mindset, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
- Assist the Inspections and Service Departments during heavy workloads, including opening new jobs in the system, ensuring correct information has been entered to accurately bill and maintain each job, and assisting with inspection reports.
- Provide customer service support including invoicing customers quickly and accurately, collecting past-due balances, and addressing questions related to invoices.
- Collect W-9 forms, Certificates of Insurance, and Exempt Sales Tax certificates as required.
- Greet visitors and callers, handle inquiries, and direct them to the appropriate person according to their needs.
- Assist in sorting and routing mail, collecting payments, and forwarding to accounts receivable.
- Obtain information needed for each job as required, including PO numbers, tax-exempt forms, insurance certificates, utilization reports, liens, credit applications, and certified payroll information.
- Perform other duties and special projects as assigned.
Qualifications:
- High School Diploma or GED required; Associate's Degree preferred.
- Previous experience in an administrative setting, or an equivalent combination of education and experience.
- Previous experience in the fire protection industry is a plus.
- Good oral, written, and telephone communication skills.
- Strong customer service skills.
- Good time management, organizational, and interpersonal skills.
- Moderate to advanced computer skills, including proficiency with Microsoft products.
- Ability to define problems, collect data, establish facts, and draw valid conclusions.
- Notary Public certification is a plus.
Physical Demands & Work Environment:
- Office environment with moderate noise levels.
- Mostly sedentary role with the need to move about the office to copy, scan, fax, and file.
- May require opening heavy file cabinets with bending, stooping, or kneeling.
- May require light lifting of storage boxes, packages to be mailed, etc.
- Consistent use of computer and phone throughout the workday.
- May require occasional driving to obtain job permits.
The wage for this role is $22.00 to $25.00 per hour, based on experience and qualifications.
