Job Description: Administrative Assistant / Accounts Payable (AP) Clerk

Position Overview

We are seeking a detail-oriented and proactive Administrative Assistant / Accounts Payable (AP) Clerk to join our team. The successful candidate will provide administrative support while handling accounts payable functions with accuracy and efficiency. This role requires excellent organizational skills, effective communication, and the ability to maintain confidentiality.

Key Responsibilities

  • Process vendor invoices, expense reports, and payment requests ensuring accuracy and compliance with company policies.
  • Assist in the preparation and management of financial documentation, reports, and data entry related to accounts payable.
  • Respond to internal and external AP inquiries promptly and professionally.
  • Maintain and organize physical and electronic files, ensuring all documents are up-to-date and easily retrievable.
  • Perform general administrative duties such as answering calls, managing correspondence, scheduling meetings, and ordering office supplies.
  • Support ad hoc projects and tasks as required by management.

Required Skills and Competencies

  • Strong organizational and time management abilities.
  • High attention to detail and accuracy in data entry and invoice processing.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and handle sensitive information with integrity.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and accounting software.
  • Ability to work independently as well as collaboratively within a team.

Required Qualifications

  • High School Diploma or equivalent.
  • Minimum of 3 years of experience in administrative support or accounts payable roles.
  • Working knowledge of basic accounting principles.
