Due to continued growth, we are looking to add a Service Coordinator to our Bangor, ME team. The Service Coordinator is responsible for scheduling and coordinating manpower for service and contract work, supporting customers and technicians, and ensuring jobs move efficiently from intake through billing. Success in this role requires strong organizational skills, attention to detail, excellent communication, and the ability to balance competing priorities in a fast-paced service environment.
Key Responsibilities:
- Schedule and dispatch technicians for daily service jobs, inspections, and contract work
- Coordinate manpower for emergency service calls, including after-hours response
- Take incoming service calls and provide repair pricing for call-in customers
- Open new service jobs in the system to ensure accurate billing and job maintenance
- Review fire system inspection reports and follow up with customers to quote deficiencies
- Order, track, and stage materials needed for jobs and verify delivery
- Review and enter payroll for field staff
- Prepare and process customer invoicing, including AIA billing where applicable
- Assist in obtaining job-related documentation such as POs, tax-exempt forms, insurance certificates, and certified payroll
- Communicate with customers regarding job status, invoicing questions, and service needs
- Support the collections team to ensure outstanding invoices are accurate and documented
- Scan and upload documents into the electronic filing system
- Provide phone backup and general office support as needed
- Manage small projects from start to finish
- Other duties as assigned
Qualifications:
- High School Diploma or GED required; Associate's Degree preferred
- 1–2 years of administrative experience; fire protection industry experience a plus
- Experience with AIA billing and lien waivers a plus
- Strong oral, written, and telephone communication skills
- Excellent customer service, time management, and organizational skills
- Moderate to advanced computer skills (Microsoft Office; AS400 a plus)
- Ability to define problems, collect data, establish facts, and draw valid conclusions
- Valid driver's license required
- Notary Public a plus
Physical Demands & Work Environment:
- Office environment with moderate noise levels
- Mostly sedentary role with the need to move about the office to copy, scan, fax, and file
- Will require opening of heavy file cabinets with bending, stooping, or kneeling
- May require light to moderate lifting (up to 50 lbs occasionally)
- Working on computers and phones consistently throughout the day
- Occasional travel to job sites, which may include dusty conditions and moderate to loud noise
The wage for this role is $28 to $35 per hour, based on experience and qualifications.
