Position Summary

As part of our Administrative Team, you will be responsible for creating a professional environment and memorable first impression for our office and field employees, clients, vendors, and visitors. This position requires a positive attitude, strong communication skills, and a customer-service mindset.

We are seeking a quick learner who is highly organized, self-motivated, and computer savvy. The Receptionist / Administrative Team Support role performs a variety of clerical and administrative duties, including answering phones, data entry, filing, scheduling, document preparation, and supporting daily office operations.

Key Responsibilities

  • Answer telephones, direct calls, and take messages.
  • Provide excellent customer service to employees, vendors, clients, and visitors.
  • Operate office equipment including copiers, scanners, fax machines, voicemail systems, and computers.
  • Maintain and update filing systems, databases, mailing lists, inventories, and records.
  • Perform data entry and maintain accurate documentation.
  • Open, sort, distribute, and prepare incoming and outgoing mail.
  • Compile, copy, sort, and file records of office activities and business transactions.
  • Type, format, proofread, and edit correspondence and other documents.
  • Manage calendars, schedules, appointments, and meeting coordination.
  • Process and prepare business and government forms and other documentation.
  • Maintain confidentiality of sensitive and privileged information.
  • Contribute to a positive, professional, team-oriented office culture.

Qualifications

Required

  • High School Diploma or GED.
  • Two (2) or more years of administrative, receptionist, or office support experience.
  • Proficiency in Microsoft Office applications.
  • Strong computer, typing, and data entry skills.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • Valid driver's license.
  • Ability to pass a background investigation and drug screening.

Preferred

  • Notary Public certification.
  • Experience supporting multiple departments in a fast-paced office environment.

 Other Requirements:

  • Valid Driver’s License to legally operate a motor vehicle.
  • Ability to pass a background investigation and drug screening.
  • Must be proficient in Microsoft Office applications, general knowledge of computer use and typing.
  • Dress code is business casual.

Physical Demands

  • Frequent standing, walking, bending, kneeling, crawling, and material handling
    • Lift 10–50 lbs. frequently; up to 100 lbs. occasionally
    • Occasional climbing and overhead reaching
    • Continuous physical activity throughout workday
    • PPE required at all times on job sites

 

OTHER PHYSICAL REQUIREMENTS:

Ability to wear Personal Protective Equipment (PPE) (hard hat, eye & ear protection, safety vest, gloves, dust mask or respirator, fall protection gear, etc.).
