The Role
The Estimating Project Coordinator supports our preconstruction and estimating team by managing bid opportunities, organizing project documentation, coordinating vendor pricing, and ensuring accurate, timely distribution of information. You'll be the key link between business development, vendors, and estimators, streamlining our bid process from intake through final submission.
What You'll Do
Bid Intake & Organization
- Receive and process bid invitations
- Download and organize plans, specifications, and addenda
- Maintain a standardized filing system for all bid documents
Front-End Specification Review
- Extract and summarize key project information (bid dates, pre-bid meetings, job walks, GCs bidding, bonding requirements, tax status, delivery method, scope, and project size)
- Provide a consistent project overview to support go/no-go decisions
Vendor & Pricing Coordination
- Obtain quotes for lighting, gear, generators, and subcontractor scopes (fire alarm, low voltage, civil, etc.)
- Track and follow up on vendor quotes to ensure coverage
- Maintain and update the vendor/subcontractor contact database
- Organize and distribute quotes to estimators
Bid Coordination
- Distribute bid documents to estimators once assigned by the VP of Estimating
- Maintain and manage the estimating calendar
- Track deadlines and ensure internal milestones are met
Communication & Reporting
- Act as a liaison between business development, estimating, vendors, and operations
- Track bid status and maintain pipeline visibility
Additional Support
- Distribute addenda updates and maintain bidder and GC lists
- Assist with proposal assembly and post-bid organization
- Help build a historical bid and cost database
What You Bring
- Experience in construction estimating support, project coordination, or administrative support (electrical or construction preferred)
- Strong organization, attention to detail, and deadline management
- Proficiency in Microsoft Office, especially Excel; familiarity with construction/estimating software a plus
- Ability to read construction plans and specs a plus
- Excellent communication and follow-through
